Before You Start
You will need:
- Email address: your full address (e.g.
[email protected]) - Password: the password set in your hosting control panel
- Mail server:
mail.yourdomain.com(replace yourdomain.com with your actual domain)
IMAP vs POP3: We recommend IMAP — it keeps your messages synchronized across all your devices (phone, computer, tablet). POP3 downloads messages to a single device and may delete them from the server.

Setup by Application
Microsoft Outlook (Windows / Mac)
- Open Outlook → File → Add Account.
- Enter your email address and click Connect.
- If Outlook does not auto-detect settings, select IMAP (or POP3).
- Enter the settings:
- Incoming server:
mail.yourdomain.com - Incoming port: 993 (IMAP) or 995 (POP3)
- Encryption: SSL/TLS
- Outgoing server:
mail.yourdomain.com - Outgoing port: 587
- Encryption: STARTTLS
- Incoming server:
- Enter your full email address as username and your password.
- Click Connect → Done.
Mozilla Thunderbird
- Open Thunderbird → Account Settings → Account Actions → Add Mail Account.
- Enter your name, email address, and password → click Configure manually.
- Set:
- Incoming: IMAP,
mail.yourdomain.com, port 993, SSL/TLS, Normal password - Outgoing: SMTP,
mail.yourdomain.com, port 587, STARTTLS, Normal password - Username (both): your full email address
- Incoming: IMAP,
- Click Re-test to verify → Done.
Apple Mail (macOS)
- Open Mail → Mail menu → Add Account → Other Mail Account.
- Enter your name, email address, and password → click Sign In.
- If automatic setup fails, enter manually:
- Account Type: IMAP
- Incoming Mail Server:
mail.yourdomain.com - Outgoing Mail Server:
mail.yourdomain.com
- Click Sign In → the account will appear in Mail.
iPhone / iPad (iOS)
- Go to Settings → Mail → Accounts → Add Account → Other → Add Mail Account.
- Enter your name, email, password, and a description → tap Next.
- Select IMAP at the top.
- Under Incoming Mail Server:
- Host Name:
mail.yourdomain.com - User Name: your full email address
- Password: your email password
- Host Name:
- Under Outgoing Mail Server:
- Host Name:
mail.yourdomain.com - User Name: your full email address
- Password: your email password
- Host Name:
- Tap Next → wait for verification → Save.
Android (Gmail app)
- Open Gmail → tap your profile icon → Add another account → Other.
- Enter your email address → tap Next.
- Select Personal (IMAP) or Personal (POP3).
- Enter your password → tap Next.
- Incoming server settings:
- Server:
mail.yourdomain.com - Port: 993 (IMAP) or 995 (POP3)
- Security type: SSL/TLS
- Server:
- Outgoing server settings:
- Server:

- Security type: STARTTLS

- Tap Next through remaining options → Done.
Webmail Access
You can also access your email from any browser — no setup required:
https://mail.yourdomain.com/roundcube/
Log in with your full email address and password.
Troubleshooting
"Authentication failed" or "Wrong password"
- Make sure you are using your full email address as the username (e.g.
[email protected], not justyou). - Reset your password in SiteWorx: log in at
https://mail.yourdomain.com:2443/siteworx/, go to Email → Mailboxes, and change the password. - Make sure there are no extra spaces before or after the password.
"Cannot connect to server"
- Confirm the server is
mail.yourdomain.com(not an IP address or other hostname). - Check that the ports and encryption settings match the table above.
- If your IP has been blocked due to too many failed login attempts, contact support to have it unblocked.
"Certificate warning"
- Make sure you are using
mail.yourdomain.comand not the server's IP address or a different hostname. - The SSL certificate is issued for
mail.yourdomain.com— using any other name will trigger a mismatch warning.
Email not syncing across devices
- Make sure you are using IMAP, not POP3. POP3 downloads messages to one device only and may remove them from the server.
