How to Set Up Your Email Account (IMAP / POP3)

Before You Start

You will need:

  • Email address: your full address (e.g. [email protected])
  • Password: the password set in your hosting control panel
  • Mail server: mail.yourdomain.com (replace yourdomain.com with your actual domain)

IMAP vs POP3: We recommend IMAP — it keeps your messages synchronized across all your devices (phone, computer, tablet). POP3 downloads messages to a single device and may delete them from the server.

Setup by Application

Microsoft Outlook (Windows / Mac)

  1. Open Outlook → FileAdd Account.
  2. Enter your email address and click Connect.
  3. If Outlook does not auto-detect settings, select IMAP (or POP3).
  4. Enter the settings:
    • Incoming server: mail.yourdomain.com
    • Incoming port: 993 (IMAP) or 995 (POP3)
    • Encryption: SSL/TLS
    • Outgoing server: mail.yourdomain.com
    • Outgoing port: 587
    • Encryption: STARTTLS
  5. Enter your full email address as username and your password.
  6. Click ConnectDone.

Mozilla Thunderbird

  1. Open Thunderbird → Account SettingsAccount ActionsAdd Mail Account.
  2. Enter your name, email address, and password → click Configure manually.
  3. Set:
    • Incoming: IMAP, mail.yourdomain.com, port 993, SSL/TLS, Normal password
    • Outgoing: SMTP, mail.yourdomain.com, port 587, STARTTLS, Normal password
    • Username (both): your full email address
  4. Click Re-test to verify → Done.

Apple Mail (macOS)

  1. Open MailMail menu → Add AccountOther Mail Account.
  2. Enter your name, email address, and password → click Sign In.
  3. If automatic setup fails, enter manually:
    • Account Type: IMAP
    • Incoming Mail Server: mail.yourdomain.com
    • Outgoing Mail Server: mail.yourdomain.com
  4. Click Sign In → the account will appear in Mail.

iPhone / iPad (iOS)

  1. Go to SettingsMailAccountsAdd AccountOtherAdd Mail Account.
  2. Enter your name, email, password, and a description → tap Next.
  3. Select IMAP at the top.
  4. Under Incoming Mail Server:
    • Host Name: mail.yourdomain.com
    • User Name: your full email address
    • Password: your email password
  5. Under Outgoing Mail Server:
    • Host Name: mail.yourdomain.com
    • User Name: your full email address
    • Password: your email password
  6. Tap Next → wait for verification → Save.

Android (Gmail app)

  1. Open Gmail → tap your profile icon → Add another accountOther.
  2. Enter your email address → tap Next.
  3. Select Personal (IMAP) or Personal (POP3).
  4. Enter your password → tap Next.
  5. Incoming server settings:
    • Server: mail.yourdomain.com
    • Port: 993 (IMAP) or 995 (POP3)
    • Security type: SSL/TLS
  6. Outgoing server settings:
    • Server: mail.yourdomain.com
    • Port: 587
    • Security type: STARTTLS
  7. Tap Next through remaining options → Done.

Webmail Access

You can also access your email from any browser — no setup required:

https://mail.yourdomain.com/roundcube/

Log in with your full email address and password.


Troubleshooting

"Authentication failed" or "Wrong password"

  • Make sure you are using your full email address as the username (e.g. [email protected], not just you).
  • Reset your password in SiteWorx: log in at https://mail.yourdomain.com:2443/siteworx/, go to EmailMailboxes, and change the password.
  • Make sure there are no extra spaces before or after the password.

"Cannot connect to server"

  • Confirm the server is mail.yourdomain.com (not an IP address or other hostname).
  • Check that the ports and encryption settings match the table above.
  • If your IP has been blocked due to too many failed login attempts, contact support to have it unblocked.

"Certificate warning"

  • Make sure you are using mail.yourdomain.com and not the server's IP address or a different hostname.
  • The SSL certificate is issued for mail.yourdomain.com — using any other name will trigger a mismatch warning.

Email not syncing across devices

  • Make sure you are using IMAP, not POP3. POP3 downloads messages to one device only and may remove them from the server.
